The Opportunity
Murphy Battista is seeking an Office Manager and Executive Assistant to the Managing Partner, who will be charged with leading and supporting the firm’s administrative staff throughout its four offices, organizing firm events, overseeing operational matters relating to facilities and providing executive support to the Firm’s Managing Partner.
Reporting to the Managing Partner and located in-office at Murphy Battista’s downtown Vancouver location, the Office Manager and EA’s priority will be to harmonize and modernize policies and practices across office locations to ensure consistent service delivery, promote a positive and inclusive culture of excellence, and support the Managing Partner in their oversight of the Firm’s operations.
Specific Responsibilities Include
- Be the key right-hand person to the Managing Partner in running smooth and efficient Firm locations and providing them with administrative support including calendar management.
- Manage 5 corporate administrative employees located in Vancouver (1 remote), and provide oversight to the Kelowna office admin team (there is a potential for occasional travel to Kelowna).
- Partner with the external IT Consultant to provide oversight of the firms’ technology needs, including implementation of training to staff on the firm’s key systems.
- Create, organize and implement event planning and management for internal and key external firm events.
- Introduce systems and processes to modernize the running of the offices, including moving the firm to mostly digital transactions.
- Oversee all facilities and space requirements, including coordinating with building management on facilities related needs.
- Provide support to the external HR consultant (e.g. run employee onboarding and orientation, answer employee basic benefit questions, organize learning and development sessions, support recruitment efforts).
- Partner with the Accounting and Payroll Administrator on vendor payment, invoicing issues and employee matters where required (ideally this person would provide payroll backup support).
- Maintain and enhance a positive, welcoming, and inclusive office environment.
- Facilitate lease renewals for equipment and facility locations in partnership with the Managing Partner.
- Manage phone and internet vendors.
- Manage office supply and services procurement.
Murphy Battista’s Office Manager and EA role will be optimal for an experienced administrative leader who has a passion for professional services environments, fosters positive cultures, and takes pride in pursuing operational excellence across multiple locations.
Ideal candidates will come with office management and administrative assistant experience, preferably in the context of litigation law, law firms, or other professional services environments such as accounting, finance, real estate, and architecture/engineering. Experience supporting multiple office locations would be an asset.
This full-time position is a key in-office administrative management role, and the salary is anticipated to be between $80,000-$110,000—depending on the candidate’s qualifications—plus excellent employer-paid benefits and RRSP matching.
