The Opportunity:

We are seeking Client Intake Specialist & Receptionist (backup) to work in-person at our Vancouver location.

The Client Intake Specialist & Receptionist is a key front-line position for the Firm. The primary function of the role is to take the initial call with prospective clients of the Firm. Your legal experience will enable you to conduct a full interview of the person’s situation, asking appropriate questions to gather sufficient information for a lawyer to determine if the case is viable for the Firm. You will also be the primary backup for our full-time receptionist, covering the reception desk during breaks, lunch, sick days and vacation cover periods.

You bring a customer first, empathetic approach to client engagements. You understand that potential clients are reaching out having experienced significant and, in many cases, tragic life changing incidents, and you bring patience and understanding to the interactions. You take pride in your attention to detail and ability to multi-task. You understand the importance of responding to client reach outs in a timely manner and can prioritize or seek input to ensure timelines are met. You also enjoy contributing to a positive and collaborative work culture.

Specific Responsibilities Include:

  • Respond to client intake calls within the same business day (ideally within an hour).
  • Engage over the phone with potential clients and apply your legal understanding, empathy, and ability to ask the right questions to assess their situation; Present your intake summary with a lawyer to enable them to determine the viability of the case.
  • Seek assistance from the Managing Partner for more complex situations to determine the best path forward.
  • Provide alternate sources of support as referrals, if applicable.
  • Be the in-house user expert for DocuSign; support internal users on the platform.
  • Greet clients in person at the reception desk.
  • Answer and direct inquiries both in person and via telephone.
  • Be aware of the whereabouts of our staff and lawyers to facilitate all inquiries.
  • Handle courier requests.
  • Book boardrooms.
  • Other clerical duties as assigned.

The experience you will bring:

  • Diploma or degree in a legal or related field.
  • 1 or 2 years of client facing experience in a legal environment.
  • Ability to remain calm, empathetic and neutral when listening to very difficult client experiences.
  • Ability to deliver disappointing news to people in vulnerable situations and be familiar with referral resources as appropriate.
  • Excellent interpersonal skills with a customer service orientation.
  • Competent in Outlook, Excel, Word and DocuSign, experience with a document management system (e.g. Primafact) is a bonus.
  • Excellent attention to detail.
  • Demonstrated strong written and oral English communication skills.
  • Working with a multi-line switch board and familiarity with a VoIP phone system is an asset.
  • Demonstrated experience with various office procedures.
  • Ability to work independently and as part of a team.
  • Good time management skills and ability to prioritize to meet deadlines.

This full-time position is an in-office role (5 days per week), and the salary is anticipated to be between $45,000-$65,000 – depending on the candidate’s qualifications.
